1. Start with a stable account ID
Give every account a single record with its platform ID, current display name, and profile URL. Keep the stable ID when someone changes the handle. Otherwise, a routine rename can create two records for the same account and split its history.
Choose one place for that record. A spreadsheet can work for a small team, provided everyone knows who maintains it and which fields are authoritative.
2. Separate market, account type, and owner
Use separate fields for market, account type, business group, and the person responsible. A note such as 'US beauty, maybe Alex' is difficult to filter and even harder to audit. Use consistent team names and record when a handoff takes effect.
3. Distinguish account status from data status
Active, paused, and suspended describe the business state of an account. Expired authorization, failed sync, and data not yet fetched describe the state of your information. Keep both visible: renewing access is a different task from investigating a platform restriction.
4. Keep a traceable video history
Record the video URL, publish time, and account. Add an observation time to changing metrics such as views. Comparing one video's morning snapshot with another video's evening snapshot can create a misleading ranking.
When data is missing, label it as missing. Do not substitute zero or assume that a video was never published.
5. Make the next action part of every handoff
List drafts waiting to publish, open tasks, and data that needs checking. Name the receiving owner and have them confirm the handoff. Share access through an approved secure process; passwords and authorization material do not belong in public spreadsheets, screenshots, or group chats.
6. Review the checklist on a fixed schedule
Handle access and task exceptions daily. Review ownership and record completeness weekly. If several people spend time reconciling copies of the same spreadsheet, test a shared workspace with a small set of real accounts.
