Choose the business date first
Decide whether the report uses order creation, payment, settlement, or another event, and state the time zone. Yesterday, the last seven days, and the previous calendar week are different reporting windows. Write the actual start and end dates into the report so everyone can reproduce it.
Define the account and team scope
List the markets, accounts, and teams included. An account that is no longer active can still belong in a historical report. Removing it from last month's results changes the comparison, even if today's active-account list looks cleaner.
Record the ownership rule used for employee totals. Do not assume that a current owner filter preserves the owner at the time of each sale.
Keep orders, GMV, and commission separate
Order count measures purchase volume. GMV measures sales value. Commission measures the team's commission-related income. Profit also needs costs, allocation rules, and an exchange-rate policy. A high GMV number does not answer whether the agency made money.
Explain refund gaps
Order status, refunded item quantities, and refund amounts may arrive separately. Mark unresolved details as pending verification. An updated status alone is not proof that every amount has been reversed, and an unavailable refund amount is not a confirmed zero.
Keep the source and check for duplicates
If the same account appears in an official feed and a historical import, establish how duplicate records are identified before adding totals. Save the date range, filters, source, and update time alongside each report. Those details usually explain a discrepancy faster than another screenshot.
Turn the report into assignments
Organize the weekly review around overall results, accounts needing attention, orders to reconcile, and next actions. Give each action an owner and review it at the next meeting.
